SharePoint or OneDrive?
OneDrive is a user's personal library — files owned by the user, gone when the account is deleted (subject to retention). SharePoint is for shared content owned by a team or the organisation. If more than one person needs it, it belongs in SharePoint.
Communication site or team site?
Team sites are for collaboration — permissions inherit from a Microsoft 365 Group, members author. Communication sites are for broadcast — one small author group, everyone else reads. Do not use a team site as a company intranet homepage.
How does external sharing work?
External sharing is configured tenant-wide, per-site, and per-file with combined lowest-permissive-wins semantics. Modern default: 'New and existing guests' at tenant level, then tighten specific sites to 'Only people in your organization' where sensitivity requires it.
